Finance and Administration Manager
The Finance and Administration Manager is responsible for a variety of duties to ensure the strong financial management and efficient, organized daily operations of CYM. In addition to strong financial and administrative management, the Manager is responsible for business planning and budgeting, legal compliance, serves as a liaison with contractors for payroll/human resources, information technology, and facilities. The ideal candidate enjoys multitasking, manages their time impeccably, knows how to set priorities and thrives in a busy, dynamic work environment. It is imperative that the Finance and Administration Manager has a strong finance background, great attention to detail/commitment to accuracy, and the ability to meet recurrent time-sensitive deadlines and safeguard confidential information in a professional manner.
- Ensure federal grant compliance.
- Analyze and prepare financial reports and analyses as needed in an accurate and timely manner; clearly present monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting.
- Coordinate and lead the annual single audit process, liaise with external auditors and the board finance committee; assess and communicate any changes as needed
- Oversee and lead annual budgeting and planning process in conjunction with the ED; administer and review all financial plans and budgets; monitor progress and changes
- Manage organizational cash flow and forecasting.
- Maintain annual filings and reporting
- Manage vendors and contractors to ensure correct, timely billing and delivery of services
- Implement a robust contracts management and financial management/reporting system, with special attention to federal and state grants management; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements
- Provide grant budgets and project budgets annually and upon request
- Update and implement all finance and business policies and accounting practices
- Effectively communicate and present CYM’s critical financial matters to the executive director and board of directors
Human Resources, Technology and Administration
- Using best practices and a commitment to Continuous Quality Improvement, maintain and further develop CYM’s human resources and administration through enhancing policies, procedures, and practices.
- Establish and maintain a comprehensive onboarding protocol to educate employees on staff tools, policies and procedures
- Oversee administrative functions as well as adherence to office policies and procedures to ensure efficient and consistent operations as the organization evolves
- Serve as liaison and manage payroll, insurance coverage, employee retirement plans, employee handbook and other employee benefits.
- Communicate clearly and transparently with all external partners, including 3rd-party vendors and consultants
- Coordinate and manage all IT support
- Provide administrative support to executive director and board of directors, including board meeting coordination and preparation, meeting minutes, updating documents and distributing meeting materials
- Lead the way in office efficiency, developing cost effective strategies and maintaining an organized office environment
- Respond to requests for information in a timely manner

Minimum Job Skills and Qualifications: The ideal candidate has experience and final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area.
- Bachelor’s degree or equivalent experience in nonprofit or government financial administration; experience in nonprofit/fund/governmental accounting strongly preferred
- Understanding of accounting and budget best practices
- Knowledge of federal grant regulations and compliance
- Knowledge of accounting and reporting software, specifically experience working with QuickBooks
- Ability to translate financial concepts to – and to effectively collaborate with – programmatic and fundraising colleagues who do not necessarily have finance backgrounds
- Demonstrated experience using and developing Microsoft Excel spreadsheets that are visually compelling and easy to understand
- A successful track record in setting priorities; keen analytic, strategic-thinking and problem solving skills which support and enable sound decision making

Capacity Building and Training Specialists (1FT, 1PT available)
The Capacity Building and Training Specialist will provide education, resources, information, training and technical assistance to Colorado youth serving organizations and schools implementing or seeking to implement effective youth sexual health and social/emotional learning (SEL) strategies, including evidence-based and parent-child communication programs and tools. The Capacity Building and Training Specialist will be responsible for the following:
- Work in collaboration with CYM staff and local partner organizations to identify technical assistance needs.
- Provide technical assistance to local organizations and schools to select, implement, evaluate and sexuality education and SEL programs.
- Provide tailored one-on-one technical assistance to expand and enhance the capacity of schools and communities to plan, implement and evaluate sexuality and SEL education programs.
- Develop and expand existing technical assistance tools and processes to help educators deliver comprehensive sexuality and SEL education and to a broader number of students.
- Cultivate and maintain relationships with communities throughout Colorado, especially with school administration, teachers and staff.
- Develop and promote mechanisms of support for youth-serving professionals, particularly school-based personnel, to implement and sustain comprehensive sexuality education and SEL programming in Colorado schools.
- Develop materials to support the capacity of schools and community organizations to implement education programs, including guidance documents, resource pages, and alignment tools.
- Develop systems to support the long-term institutionalization of comprehensive sexuality education and SEL programs in schools and community organizations.
- Provide training for youth serving professionals, teachers and school staff on programs, strategies and curricula, in coordination with the Director of Capacity Building.
- In collaboration with the Capacity Building team, develop training and information dissemination opportunities for teachers and youth-serving professionals, using technology, including interactive platforms and websites.
- Stay current on cutting-edge youth sexual health and SEL topics relevant to role, and proactively share back with colleagues in support of Colorado Youth Matter’s ‘learning organization’ strategy.
- Ensure consistent community messaging in coordination with the Communications and Development Manager.
- Monitor and record the progress of grant and contract deliverables.
- Manage and prepare grant progress reports, as needed, in collaboration with all staff, per project.
Minimum Job Qualifications and Skills
- Minimum of a Bachelor’s Degree in public health, education, social sciences or a related field with 5 years of experience; Master’s Degree with 2+ years of experience preferred
- Educational and/or work experience related to adolescent reproductive health, adolescent health, HIV/AIDS/STD programs highly desirable
- Experience facilitating or training in the following curricula preferred: Rights Respect Responsibility (3R’s), FLASH, Teen Outreach Program, Positive Prevention Plus
- Bilingual Spanish speaker strongly preferred
